For each field, identify the authoritative system.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Clean_the_material\"><\/span>Clean the material<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Remove duplicates, obsolete versions and contradictions. Convert scanned or complex files into reliably readable text. Preserve the meaning of headings, tables and lists.<\/p>\n<p>Do not write only for one example question. Include terminology, synonyms, constraints, exceptions and required clarification. One FAQ pair may cover a simple issue; complex rules need structured articles.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Add_metadata_and_boundaries\"><\/span>Add metadata and boundaries<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Tag product, country, language, customer type, validity and permission. This helps a system restrict retrieval to appropriate sources. Define subjects that require human review.<\/p>\n<p>The bot should not fill uncertainty with invented detail. A controlled response can name missing information, ask a question or transfer to an authorised person.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Separate_retrieval_quality_from_writing_quality\"><\/span>Separate retrieval quality from writing quality<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>A wrong answer may result from selecting the wrong source or from summarising a correct source incorrectly. Record which documents supported each test case. This allows the team to decide whether to improve the content, metadata, retrieval process or response rules.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Create_a_fixed_test_set\"><\/span>Create a fixed test set<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Include:<\/p>\n<ul>\n<li>common questions;<\/li>\n<li>varied wording and spelling errors;<\/li>\n<li>combined requests;<\/li>\n<li>out-of-scope questions;<\/li>\n<li>conflicting or incomplete details;<\/li>\n<li>outdated terminology;<\/li>\n<li>sensitive or binding decisions;<\/li>\n<li>human-handoff cases.<\/li>\n<\/ul>\n<p>Evaluate factual accuracy, source support, completeness, permitted voice and correct escalation. Fluency alone is not a quality measure.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Plan_maintenance\"><\/span>Plan maintenance<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Sources change. Define who updates them, when tests rerun and how old versions are removed. Critical policies need an expiry date or recurring review. Record changes so failures can be traced to a version.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Run_a_controlled_pilot\"><\/span>Run a controlled pilot<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Start with a narrow task and known users. Monitor unresolved questions, wrong sources, repeated clarification and transfers. Expand only after the current scope is stable.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Acceptance_gate\"><\/span>Acceptance gate<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>The knowledge base is ready when every active source has an owner and status, conflicting versions are removed, sensitive boundaries are defined, a representative test set passes, and maintenance and escalation have named owners.<\/p>\n<p>Reliable chatbot answers do not begin with the model.
